Turn call and meeting transcripts into summaries and action items

Quick answer: After a sales call, support call or Zoom, send the transcript to AI for a short summary and action list, then log it to your CRM, Notion or a Sheet.

Steps

  1. Record or transcribe the meeting with a tool you already trust (examples named in small-business automation guides include Fathom, Otter and Fireflies; Granola is another option).
  2. When a transcript is ready, trigger Zapier, Make or n8n.
  3. Ask AI for: a 5-bullet summary, decisions, open questions, and action items with owners and due dates if mentioned.
  4. Append the result to a Google Sheet, Notion page or CRM note on the contact.
  5. Optionally email the action list to attendees for confirmation.

What you need

Tools: meeting transcription (Fathom, Otter, Fireflies, Granola or similar) + Zapier/Make/n8n + CRM/Notion/Sheets. Meeting transcription appears as an automation pattern in guides such as https://stackconsultingai.com/ai-automation-small-business-guide — use their tool names as examples only; we don't invent ROI percentages.

Costs: see each vendor's current pricing page.

What to watch

Get consent before recording; follow your state's recording laws and your client's preferences.

AI summaries can miss nuance — keep the raw transcript and have a human skim before you send client-facing notes.

Don't paste secrets, passwords or payment details into the transcript pipeline.
