Text back every missed call automatically for an HVAC business

Quick answer: When a call is missed during a job, send an automatic text asking for the address and issue, log the reply, and alert the on-call tech.

Last updated October 15, 2026

Steps

  1. Connect your business phone system (a VoIP service such as OpenPhone, Dialpad or a Twilio number) so it fires a webhook or Zapier trigger on missed calls.
  2. In Zapier, Make or n8n, send an SMS: “Sorry we missed you — this is {Company}. Reply with your address and the issue (no heat / no cool / maintenance) and we'll call back within the hour.”
  3. Log every reply to your CRM or a Google Sheet.
  4. Forward the reply to the on-call technician's phone.

What you need

Tools: Phone system webhook → Zapier/Make/n8n → SMS → Sheet/CRM. Costs: see each vendor's current pricing page.

What to watch

SMS consent rules (TCPA and 10DLC registration in the US): only text numbers that called you, include your business name, and honor STOP.
